CRA Feasibility Audit
for Community Oncology Sites

A structured, independent assessment of your site's readiness to host sponsored clinical trials. We review your staffing, SOPs, source document templates, regulatory files, and workflow capacity — and deliver a frank, actionable report that sponsors trust.

Built for
Community oncology practices Independent research sites Academic satellite sites Multi-site oncology groups seeking their first trial
The Opportunity

Why Community Sites Struggle to Get Selected

Sponsors and CROs reject sites not because of patient volume — but because of operational gaps that are entirely fixable with the right preparation.

Common Reasons Sites Are Passed Over

  • No documented SOPs for sponsor-facing processes (source document handling, delegation logs, monitoring visits)
  • Regulatory binder gaps: missing or outdated 1572s, CVs, medical licences, lab certifications
  • PI and sub-investigator delegation log not current or not available
  • No dedicated research coordinator or unclear staff capacity for protocol-specific tasks
  • Incomplete or unblinded source document templates that don't align with GCP expectations
  • No track record of audit or monitoring visit, leaving sponsors with no confidence data
  • IRB correspondence not organised or slow turnaround history

What a Passing Site Looks Like

  • Current, sponsor-ready regulatory binder with all essential documents filed and dated
  • SOPs that map directly to protocol-required procedures: ICF process, AE/SAE reporting, sample handling
  • Delegation log that accurately reflects staff roles, training, and authorisation
  • Clear statement of coordinator and PI availability (hours/week available for research)
  • Source document templates pre-built for common oncology data points
  • Evidence of prior audit or monitoring visit — or a clean mock audit record
  • Patient flow data: how many potentially eligible patients per year per tumour type
Audit Scope

Six Areas We Assess

Remote · Three Phases

How the Audit Works

1

Pre-Audit Document Collection

Days 1–5 (your team uploads; we provide a structured checklist)

We send you a secure document request checklist covering all six audit domains. You upload documents to our encrypted portal — SOPs, regulatory binder items, source document templates, lab certifications, staff CVs, and training records. No physical visit is required at this stage.

  • Structured upload checklist provided (50–70 items across six domains)
  • Secure encrypted document portal — no email attachments
  • Clarification calls available during collection if needed
2

CRA Review & Scoring

Days 6–12 (KCLG CRA team reviews all submitted documents)

Our experienced clinical research associates — with direct oncology trial experience at Phase I–III level — review every document against GCP ICH E6(R3) requirements, FDA guidance, and common sponsor qualification criteria. Each domain is scored and annotated with specific findings.

  • Scored across six domains: Meets Standard / Requires Improvement / Critical Gap
  • Line-by-line annotations on SOPs and source document templates
  • Regulatory binder inventory cross-checked against ICH E6(R3) essential documents list
  • Patient flow data benchmarked against typical sponsor enrolment expectations
3

Audit Report & Debrief

Days 13–15 (report delivered; debrief call scheduled)

You receive a formal written audit report — structured exactly as a sponsor's pre-qualification report — with a domain-by-domain scorecard, specific findings, and a prioritised corrective action plan. We then hold a 60-minute debrief call to walk through findings and answer questions.

  • Formal PDF audit report (20–35 pages) formatted for sponsor presentation
  • Prioritised corrective action plan: Critical / High / Medium / Low items
  • 60-minute debrief call with the lead CRA reviewer
  • Optional: re-audit after corrective actions completed (separate scope)
